Housing and Residence Life (HRL) at UNC Charlotte partners with residents to provide communities that are inclusive, safe, well-maintained, and intentionally designed to facilitate academic, personal, and professional growth. To uphold this mission, HRL has established a Resident Handbook that outlines student rights and responsibilities while living on-campus. These rights and responsibilities have been intentionally designed to foster communities grounded in personal accountability, mutual respect, and community awareness.
When a student has reportedly failed to uphold community standards or agreements (e.g. roommate living agreements), violated Code of Student Responsibility policies including those within the Resident Handbook and Housing Contract, and/or is in conflict with another student, they may be asked to meet with a Housing and Residence Life staff member to participate in one of several resolution processes.
Accountability and Resolution
The purpose of UNC Charlotte’s conduct procedure and community standards processes are to help support students’ success, uphold personal accountability, and maintain mutual respect and community standards. We are committed to providing fair, impartial, and efficient processes facilitated through compassionate conversations in which students are heard, respected, and treated with dignity. When an incident occurs in the Residence Halls and/or involves a residential student, HRL may coordinate with Student Conduct and Academic Integrity (SCAI) to initiate the appropriate process, which can include conflict resolution or conduct proceedings.
The Conflict Resolution Process is grounded in restorative practices that promote dialogue as a means to increase understanding and enact change, and can be the result of an actual student conduct violation as outlined in the Code or the result of a conflict or harm created that is not in direct violation of the Code. Housing and Residence Life staff may administer one or more of the following to resolve ARP concerns:
- Educational Conversations: Educational Conversations provide an opportunity for a facilitator and student involved in an incident to discuss community standards, better understand individual perspective, and foster dialogue around the impact of one’s behavior on others and the community.
- Conferences/Facilitated Dialogues: Conferences bring together members of the community who have been impacted by an event or incident, allowing both victims and accused to have honest dialogue in a space where all members may speak and ask questions. Conferences are a non-threatening way to rebuild trust, community, and relationships while also focusing on gaining understanding and reaching a mutually desired outcome or resolution.
- Peer Conflict Resolution: Students may also request or be referred to SCAI to participate in peer-to-peer resolution with the Student Conduct Board.
The Student Conduct Process may be initiated after the SCAI Director’s assessment and determination that formal charges shall be pursued. Depending on the nature of the violation, the student’s conduct history, and the seriousness of the violation, the student may be asked to meet with a staff member in SCAI, the Student Conduct Board, or HRL. Housing and Residence Life staff may administer one or more of the following to resolve conduct concerns:
- Administrative Resolution: Administrative Resolutions are the distribution of an official written notice that provides notification of the charge; educates the student about the policy that has been violated; and offers the student the opportunity to engage in a Mutual Resolution if requested within three (3) days.
- Mutual Resolution: Mutual Resolutions are grounded in the premise that individuals grow as they take personal responsibility for their actions, increase understanding of their impact on others, and actively participate in the creation of a resolution. The student will meet with an HRL staff member serving as a conduct officer and discuss the incident as well as their involvement. After discussion, the conduct officer and student will work together to determine a resolution that is proportional and appropriate to the unique situation and community standards. This process may utilize sanctions to bolster personal accountability and foster understanding.
- In Absentia Resolution: If an accused student waives their right to a hearing, fails to respond to a request for meeting, or fails to attend a scheduled Mutual Resolution or Hearing, the case may be resolved in the student’s absence through an In Absentia Resolution.
- Hearing: Students may also request or be referred to SCAI to participate in a formal hearing process with a single conduct officer or administrative hearing panel.
Sanctions or combination of sanctions may be imposed upon any student either accepting responsibility or being found responsible for violations of the Code of Student Responsibility. In alignment with the UNCC Housing and Residence Life mission, sanctions are intentionally designed to foster growth in ethical decision making, awareness of individual impact on others, and accountability to uphold personal and community responsibilities.
Sanctions will be determined based on the offense, with consideration given to any aggravating and mitigating circumstances, including but not limited to the student’s conduct record. Types of sanctions that can be applied include, but are not limited to:
- Educational Sanction: A sanction in which the student must complete an educational experience and/or reflection aimed at helping the student learn from the incident and adding value to their experience as a student.
- Referral: A follow up with a campus partner or community agency in order to connect the student to resources or help them manage issues that led to the violation.
- Loss of Privileges: Loss of specified privileges for a designated period of time, including but not limited to access to specified residential communities, late stay during breaks, guest privileges, etc.
- Trespass: Exclusion from all or a portion of a specified area (e.g. University Residence Halls) for a definite or indefinite period of time
- Restitution: A monetary sanction imposed when there is a cost associated with the misconduct (e.g. If a student vandalizes a wall by spray painting it, the student would be responsible for the cost of repainting the wall.)
- Status Sanction: A sanction that formally indicates the student’s behavior was unacceptable and may - in status sanctions of Conduct Probation or higher - deem the student no longer in good conduct standing with the University for a definite period of time not less than the remainder of the semester or for an indefinite period of time. Conduct Warning and Conduct Probation does not affect a student’s academic standing, is not shared with faculty members, and is not notated on the student’s academic transcript. However, other University offices may request the student’s disciplinary record if the student submits applications for study abroad, entrance into professional schools, and/or student employment positions.

All conduct case files are retained as part of the student’s conduct record for a minimum of eight (8) years from the date of resolution.
